Job Overview

The Nutrition and Dietetics Service is seeking an experienced and highly organised Administration Team Leader to provide comprehensive, confidential senior administrative and secretarial support across the service.

 

This pivotal role involves supervising the administrative team and coordinating the day‑to‑day running of the service office. You will act as a key point of contact for patients, families, clinicians and partner organisations, ensuring a professional, compassionate and efficient administrative function that supports high‑quality patient care.

 

You will work closely with the Head of Service and Team Leaders, providing leadership, guidance and operational oversight while maintaining robust systems for referrals, records management, meetings, and service reporting.

 

Key Responsibilities

  • Lead and manage the administration team, including supervision, training, appraisals and performance management
  • Act as the first point of contact for patients, families and professionals, managing sensitive and sometimes challenging communications with professionalism and empathy
  • Coordinate referrals, appointments, interpreters, room bookings and patient information systems
  • Provide senior secretarial support, including agenda preparation, minute taking and meeting coordination
  • Maintain accurate and confidential patient and service records in line with governance requirements
  • Develop and maintain effective audit and reporting systems for referral and activity data
  • Support HR processes such as recruitment, contract changes and leavers, liaising with People Hub/People Link
  • Manage correspondence, diary scheduling, invoices and ordering of supplies
