Job Overview
We are seeking a highly motivated and detail-oriented Data Supervisor to join our College Information Services (CIS) team. This is a fantastic opportunity to play a key role in supporting the delivery of high-quality education by ensuring the accuracy and integrity of college data systems.
As Data Supervisor, you will oversee the collection, processing, and reporting of student and curriculum data. You will support the day-to-day operations of the CIS team and ensure that data is accurate, complete, and compliant with funding body requirements.
Your ability to communicate clearly and organise your workload efficiently will be essential to success in this role.
Job Specific Outcome
- Organise the efficient processing of student application and enrolment forms, including the referral of applications for interview, administration of confirmation letters, and the processing of enrolment fees, ensuring that controls are in place and validation and audit procedures are maintained at all times.
- Advise College staff on the correct procedures for relevant department operations to ensure that they are fully aware of requirements and processes.
- Initiate purchase orders for department supplies and materials within budget constraints and processing invoices for payment ensuring that goods have been received and that the correct costs and discounts have been applied.
- Direct, coach and motivate staff within area of responsibility to include the setting, reviewing and appraising of performance standards, aims and objectives, to build and sustain an effective team capable of providing a professional and highly efficient service.
- Maintain effective working relationships with staff, internal and external customers and stakeholders, to ensure that appropriate information and reports are provided which meet the operational requirements of the College.
- Assist in the review, development and updating of departmental processes and procedures ensuring that they meet College business requirements.
- Develop and maintain systems and procedures for the efficient collection and recording of data relating to curricular activities, ensuring controls are in place and validation and audit procedures are maintained, to provide reliable and accurate core data for key operational decisions to be taken.
Qualifications
Essential:
Educated to GCE A level or have a level 3 qualification in Business Administration.
Desirable:
Level 3 IT Qualification
Knowledge
Sound working knowledge of IT software systems including Microsoft Windows products.
Technical Work Based Skills
The ability to train staff in the best use of systems and develop procedures to check and improve data quality.
General skills / attributes
Frequently communicate with College staff, students, the general public (including foreign students with little or no English) and outside agencies by phone, e-mail and in person.
Train new members of staff and motivate office staff re training opportunities and completion of work.
Self-motivated with good interpersonal and organisation skills and the ability to work on own initiative. Methodical with a high level of accuracy.
Customer focused and have the ability to communicate effectively with a wide range of people and develop good working relationships with College staff.
Excellent organisational skills. Thrive under pressure and meet continuous deadlines.
Experience
Essential:
Previous experience of working in an administrative / technical role using a centralised database system.
Experience of managing changing workloads.
Strong track record in stakeholder engagement and communication.
Experience of working with centralised database systems.
