Job Overview

Le Rocquier School is seeking to appoint a motivated Finance Assistant to join our Business Office to cover for a fixed period. The successful candidate will manage the day to day administration of our schools financial activities whilst also providing varied business support to the Business Manager. 

We are looking for a flexible and well organised individual with the ability to work on their own initiative. Previous experience in a similar finance role is desirable, however training will be provided. The hours for this position are negotiable 30-37 hours  per week Monday to Friday

Job Purpose

  • To manage the day-to-day administration of School’s financial activities with shared responsibility for ensuring that the relevant Financial Directions regarding the collection and spending of public money are adhered to.
  • To provide up to date financial and management reporting to the Business Manager.
  • Perform Accounts payable (pay invoices), Accounts Receivable (issue invoices) and credit control (debt collect) functions.

Work closely with the Business Manager on financial matters, calculating and issuing budgets to Faculty Heads and other internal budget holders, ensuring reconciliation with the school’s delegated budget.

Maintain the school’s financial records relating to the budget, advise the Business Manager as appropriate, checking the accuracy of computer output, interpreting reports, calculating, and producing statistics and reports for management information, as required.

Interpret Financial Directions and advise all staff on relevant aspects with regard to spending public money.

Reconcile information: to ensure that all financial transactions are correctly recorded and analyse reports, monitoring trends or otherwise.

Manage, monitor, reconcile (on monthly basis) and control school’s voluntary funds accounts: travel advances, returned cheques, and sundry suspense accounts to ensure that all records are accurately maintained, and expenditure is accounted for.  Raise any discrepancies with the Business Manager.

Overseeing and administering all income and expenditure for school activities, events, including on and off Island trips and fundraising.

Banking of cash from all areas of the school, including community use of facilities, ensuring correct bookkeeping procedures.

Accounts Receivable: raise invoices and chase any unpaid accounts for Voluntary funds and via debtors for Budget.

ParentPay: Manage administration related to ParentPay including sending activation codes to parents as required and monthly financial reporting/reconciliation of trips/events against voluntary funds.

Perform procurement function (purchasing) by processing requisitions / orders for approval and following up any queries with suppliers through Connect Ariba / Connect Finance.

Carry out procurement for staff as and when required.

Investigate/resolve any queries/discrepancies related to budget and voluntary funds.

Photocopying/Printing: manage distribution of all photocopying accounts by interrogating Papercut; prepare journals to ensure correct costs are posted to the correct department as well as any personal accounts.

Manage all travel arrangements for staff through HRG system including In-Service training using the correct States procedures aiming to secure the most economical booking.

Act as Data Inputter with regards to purchase card transactions – ensure all are coded correctly and are signed off and returned in accordance with the correct States procedures, coding to correct budget and updating records.

Advise and alert the Business Manager on issues affecting the smooth and efficient running of all financial matters which may have an adverse effect on the school budget.

 

Qualifications

ESSENTIAL

Educated to a minimum of GCSE level

 

A Level or equivalent

Knowledge

ESSENTIAL 

A high standard of numeracy and literacy skills

 

 

DESIRABLE 

A basic finance qualification or the desire to achieve one.

 

Technical Work Based Skills

ESSENTIAL

Working knowledge of ICT applications:  Microsoft Excel, Outlook and Word

DESIRABLE 

Knowledge of Connect Ariba / Connect Finance / HRG systems.

General skills / attributes

ESSENTIAL 

Able to deal confidently with staff, suppliers and parents with their enquiries.

 

Ability to maintain confidentiality and discretion at all times.

 

Tact and diplomacy.

 

DESIRABLE 

Able to manipulate data.

 

Experience of emailing or talking with parents and students
