Job Overview

Le Rocquier School is looking to appoint a part-time, 30 hours per week, Term Time Only Inclusion Administrator to support the varied work of our Inclusion teams . You will assist the SENDCO, DSL and Deputy Head – Inclusion by providing confidential, accurate and efficient administrative support. You will be the first point of contact for enquiries linked to inclusion, processing messages efficiently and accurately while supporting the inclusion processes and procedures with high quality support.  This position offers a varied and rewarding daily schedule, while supporting professionals, students and families to ensure learning in school is maximised with the right support.

Job Purpose

Provide a comprehensive and, confidential, and accurate administrative service to support the Inclusion Department, including attendance, SEND and Safeguarding. 

Job Specific Outcomes 1 of 2

  • Assist the Attendance team with confidential administrative services to support high attendance  by students.

  • Assist the SENDCO, DSL and Deputy Head – Inclusion by providing confidential, accurate and efficient administrative support.

  • Be the first point of contact with for enquiries linked to inclusion, processing messages efficiently and accurately.

  • Maintain student inclusion and school records in SIMS and Excel spreadsheets.

  • Prepare paper and electronic reports.

  • Administer and maintain school databases (SIMS, My Concern, Provision Map currently) to ensure up to date information is available for staff and students and to provide reports as required by colleagues.

  • Building, collating, and printing of inclusion reports, liaising closely with colleagues to ensure the information is accurate.

  • Assist with typing, photocopying, filing and general admin duties as instructed by inclusion team leaders. To include such items as taking minutes, contacting parents, sending emails, and preparing documents for meetings.

  • Contribute to the examination invigilation programme when required.

  • Undertake specialised typing which may require specific layouts and designs.

  • Preparing student files for transfer to other schools/colleges

  • Ensuring inclusion notice boards and other shared information is up to date.

  • Liaise with external agencies on behalf of inclusion staff to ensure good communication and that inclusion processes timelines are adhered to.

  • Process all enquiries, applications, registrations received by the school in accordance with set procedures and policies.

  • Provide administrative support for meetings and conferences, ensure that all attendees receive supporting documentation, and where necessary attend and take notes, to ensure the smooth running of the meeting or conference.

Person specification

Effectively communicate by written and oral means with staff, students, parents, Governors, CYPES and external agencies , e.g. School Nurses, CAHMS, Social Services, Children’s Services etc.

Act as first point of contact for Inclusion enquiries relating to the school.

Well-developed communication skills are vital in presenting a positive image of the school coupled with a high degree of confidentiality and discretion. 

Provide and receive information verbally and in writing e.g., correspondence letters, email, reports, and referrals to third parties, monitor all incoming calls, relaying message to appropriate key workers or outside agencies.

Qualifications

ESSENTIAL

Must possess a minimum of 5 GCSE or equivalent at A* - C grades, English and Maths are essential.

Must be an experienced administrator with a high level of skill in organisational ability.

DESIRABLE

Additional admin-linked qualifications

Knowledge

ESSENTIAL

Possess excellent administrative and secretarial skills including minute taking and compiling agendas and composing letters and drafting reports.

DESIRABLE

An administrative qualification is desirable along with an ECDL certificate.

 

Technical Work Based Skills

ESSENTIAL

Excellent Information Technology skills, especially in respect of Microsoft applications (e.g. Word, Excel, PowerPoint and Publisher) together with knowledge of other office equipment.

High levels of self-management and organisational skills with the ability to judge priorities and act on initiative are essential.

 

Must be able to work as part of a team and maintain efficiency and professionalism whilst under pressure.

An ability to deal calmly and diplomatically with a wide range of people is essential along with the ability to maintain strict confidentiality.

An understanding of Freedom of Information, Data Protection and Child Protection are essential.

 

DESIRABLE

Experience of using Government of Jersey packages (e.g. Connect)

ESSENTIAL

Be able to work on own initiative and without supervision. Must be a self-starter, motivated and have ability to meet tight deadlines. Have excellent organisational ability. Be a team player with ability to interact with people at all levels and ability to prioritise heavy workloads. Have a high standard of numeracy and literacy skills.

DESIRABLE

Ability to manage change in an effective and non-threatening way.

Experience

ESSENTIAL 

3 Years experience in an administration/secretarial role.

Excellent communication skills with a diverse mix of groups and individuals.
