Job Overview
To be part of a small team responsible for the daily administration of the Child Health Information System (IT system). This will require a high level of accuracy and attention to detail, with the ability to spot discrepancies or mistakes and follow established Standard Operational Procedures (SOP).
To validate and input forms, to enter the data onto the system and manage the process of archiving the forms in accordance with the agreed retention and destruction policy. To undertake general filing duties if required. This may mean working in the archive area.
To report inconsistencies and data quality errors impacting on service delivery, to the Information Systems Administrator or Immunisation Nurse, as appropriate.
Meet regularly with other team members to prioritise workloads, to meet often conflicting deadlines and have a flexible approach to tasks.
Have good interpersonal and communication skills to deal with queries relating to records held on the child health system. These can be from the individuals themselves, parents or health care professionals such as GP’s, health visitors, school nurses, hospital staff or the immunisation nurse.
Maintain an up-to-date knowledge of programme issues and procedures to respond to patient/public queries and complaints and know when to escalate to a higher level, as appropriate.
Ensure patient confidentiality is always maintained and patients’ rights are maintained.
Work in collaboration with the wider Health Protection Team to support adult immunisation programmes.
Job Purpose
To work with a team who are responsible for ensuring that all children on the island are invited to have their vaccinations and health checks at the correct age.
To utilise the Child Health Information System (IT system) that schedules invite letters and records data for children’s health programmes and immunisations, produces reports and creates individualised vaccination and health records.
The childhood immunisation programme for the Island critically relies on the quality of the vaccination information that is recorded. You must an eye for detail as accuracy is essential. Experience with Microsoft Office software is advantageous. The administration provides an important first point of contact with the public and other health professionals.

Statutory Responsibilities
Active engagement, participation and compliance with any other statutory responsibilities applicable to the role, as amended from to time. A good standard of education, IT literate and a willingness to learn. Experience of hospital systems Care Plus and Maxims desirable however training will be available.

To deal with Primary Care Services in delivering childhood immunisations
To schedule all routine childhood immunisations / 6 week baby checks
To input / retrieve information accurately
To liaise with other stakeholders regarding immunisations, includes local and overseas interests
To maintain a filing system that meets Data Protection Law
Maintain supplies required for both office use and medical use

Qualifications
Educated to A level standard or equivalent with a mature attitude, or specific training relating to the use of healthcare IT systems
Knowledge
A good knowledge of Microsoft 365 software
A good understanding of data and inputting / retrieving data.
