Job Overview

Bank Medical Secretary required to provide confidential secretarial support on a flexible basis. The role demands excellent organisation and communication with ability to work on own initiative to a high standard. Knowledge of medical terminology is desirable, but training will be given. Excellent word processing and IT skills are essential.

Job Purpose

Provide a comprehensive secretarial and administrative service to Consultants and their clinical teams within Health and Community Services. The postholder will be required to act as liaison officer between patients, relatives, health care professionals and other internal and external agencies.

Job Context

As this position is within a hospital, the nature of the work requires not only specialised knowledge in the medical field, but sensitivity, compassion and discretion. This is an extremely busy Department with a very high proportion of urgent workload. This requires a person that can manage effectively under pressure, maintaining a calm and approachable manner whilst having the ability to think quickly to ensure a high level of service is maintained.

In dealing with the personal details of the public, it is imperative that a high degree of confidentiality is maintained, Within this clinical environment, the postholder must ensure that a good system is maintained and communicated effectively to ensure that patient information is accurate and readily available to the Consultants and their teams. This will enable an efficient through put of patients during clinical activity.

Qualifications

Essential 

Educated to GCSE level or possess an equivalent qualification. Previous experience in a secretarial or administrative role. High level of excellent written English and grammar is required. The postholder is expected to possess a certificate in Medical Terminology or undertake training to achieve the in-house certificate in first two ears.

Knowledge

Essential 

Knowledge of the department's services and the importance of the customer experience

 

Desirable

Knowledge of medical terminology would be advantageous

 

Technical Work Based Skills

Essential

Excellent knowledge of Microsoft Office applications and familiar with other IT software to produce high quality documents efficiently. Be able to use, promote and train others on a wide variety of IT software. Ability to learn the various software used within the Government of Jersey.

General skills / attributes

Essential. 

Able to deal with many high priority issues at the same time, maintaining a calm and professional approach whilst quickly developing a strong rapport with others. Excellent communication and interpersonal skills are required to deal with patients and relatives who maybe distressed. Awareness of both le al and best practice

Previous experience of working in a busy secretarial or administrative department.
