Job Overview
Haute Vallee School is seeking to appoint a dynamic and enthusiastic Administrator to support the Special Educational Needs Disabilities Coordinator (SENDCo) and SEN Team by fulfilling a variety of administrative duties. This is an exciting opportunity to join a busy and friendly team. Applicants should have excellent organisation, communication and computer skills and be able to work under pressure in a busy, vibrant secondary school. The candidate will have administrative experience and will be willing and able to learn fast about the workings of a school, and understand specifically, the role and requirements of the SENDCo. Additionally, being able to touch type, having experience of working with spreadsheets as well as great attention to detail and the confidence to tackle a variety of administrative functions would be advantageous. Applicants should be able to demonstrate excellent interpersonal skills when dealing with students, staff, parents and external agencies. The successful applicant will be efficient, highly organised, flexible, friendly and be able to work to changing deadlines.

Job Purpose
To provide administrative services to support the (SENDCo), and the whole SEN Team in their roles of fulfilling this essential function within the school.
PRINCIPAL ACCOUNTABILITIES
- Accurate maintenance of student data in respect to completion of all assessments carried out by the SENDCo. Including collation of evidence and maintenance of a spreadsheet.
- Prepare agendas, arrange meetings, collate and distribute meeting notes as necessary. Attend meetings, as required, and produce accurate and concise minutes and action notes as appropriate.
- In liaison with the SENDCo and Lead TA, create invigilation and rooming schedules for all external and internal exam sessions in relation to students with Access Arrangements.
- Assist and support the setup of examinations and assessments.
- Maintain all regulatory records detailing individual student’s access arrangements.
- Ensure all parental communications are completed to a high standard and in a timely manner.
- Provide a full and confidential service to all Staff and the SLT including the preparation, assimilation, drafting and typing of correspondence and reports having high regard for high standards, confidentiality and promptness.
- Adhere to the Data Protection Law regarding Student and Staff filing ensuring that any relevant documents are maintained and forwarded to the appropriate department, as and when required.
- Manipulation of SIMS data and information maintained in central spreadsheet to provide requested information in the form of a report, as required.
Knowledge
KNOWLEDGE AND SKILL
- The postholder must be educated to at least GCSE standard.
- The postholder must be well organised with exceptional diligence.
- The postholder must have an excellent command of written English.
- Confidence and high level of competence in use of IT systems, including Word, Excel, Office 365.
- Previous experience of working in a similar role is preferred.
- The postholder must have the ability to work effectively under pressure, unsupervised and as part of a team, demonstrating effective time management.
- An ability to take ownership and be accountable is essential.
- A desire to work as part of a team, sometimes adjusting own workload to support members of the team.
- Due to the range and variety of work the postholder undertakes, it is essential that the postholder has excellent time management skills, an ability to assess priorities and make decisions as to their relative importance and level of urgency, to meet often tight and demanding deadlines with minimal supervision. As such, the ability to demonstrate an innovative and creative approach to problem-solving, whilst working within the boundaries of the role, is required.
- An excellent telephone manner and the ability to deal courteously, confidently and effectively with a wide range of personnel are essential. The postholder will have regular contact with outside agencies and parents and as such, integrity and discretion are essential to this role to ensure the credibility of the School.
- It is of paramount importance that the postholder is of good character and highly confidential, as they will be required to meet strict standards in relation to the access to material of a sensitive and classified nature.
