Job Purpose

To ensure a comprehensive, confidential and accurate administrative service in support of the project managers.

 

To administer the project’s finances, with responsibility for all accounting procedures and provide up-to-date financial reporting.

 

Principal Accountabilities

Prepare replies to all routine matters.

 

Receive and screen calls and deal with enquiries where possible or re-direct as necessary to ensure prompt and efficient service.

 

Research and assemble information and data from files, as directed, in support of the team.

 

Arrange meetings as requested; circulate relevant papers in good time prior to the date ensuring that everyone has the information that they need.

 

Provide an efficient filing service and maintain efficient records as required.

 

Accurately maintain financial records. Ensure that all project managers have regular up to date information relating to their project’s accounts. 

 

Administer monies for residentials, activities, conferences and fundraising, liaising with workers responsible.

 

Check and pay in cash/cheque from all areas. Use correct bookkeeping procedures for petty cash accounts. Prepare regular bank reconciliations and balance of petty cash.

 

Process orders for goods as required and make correct payment on delivery.    Ensure, where possible, best terms and value for any goods.

 

Pay all accounts and resolve any related queries.

 

Ensure the monitoring and ordering of office stationary.

 

Booking, invoicing for, and monitoring of area/project resources (minibus, rooms, resources)

Person specification

Have excellent organisational and communication skills.

Have excellent information technology skills, especially in respect of Word, Excel, PowerPoint and Publisher software packages.

 

Qualifications

Be educated to a minimum of GCSE level especially in literacy and numeracy.

Technical Work Based Skills

Have experience and knowledge of a wide range of office equipment (fax, photocopier etc.)

Computerised bookkeeping is essential with a working knowledge of Quicken packages.
